Update on Microsoft 365 Storage Limit for Students-Test

Summary:

The Microsoft policy on “Storage Changes for Microsoft 365 Education | Microsoft Education” has a substantial impact on higher education institutions worldwide, including CUHK. As a result, several measures will be implemented to address the changes. 

The storage limit of your email box and OneDrive will be reduced. Email Online Archive and Auto-removal of deleted items will be enabled in May 2025 to free up storage space and improve loading times in your primary mailbox.

The storage sizes below are subject to change based on any revised policies and terms of Microsoft.

 

New storage quotas for current students:

Your mailbox and OneDrive size will be reduced as the tabulated sizes below starting July 2025, if  you are:  

  1. Postgraduate Students with expected graduation date from 2026-27 or after
  2. Undergraduate Students with expected graduation term from 2026-27 Term 1 or after

Notes:

  1. New storage quota is assigned to new students starting Jun 2025.
  2. The new storage quota will apply to current students with the expected graduation date/term as mentioned above according to the following schedule with an email reminder:
    • Jul 2025 (for users with usage below 80% of the new quota)
    • Dec 2025 (for all remaining users)
  3. Refer to the information from “Update on Microsoft 365 Email and OneDrive for Alumni” on the storage update for Alumni’s mailbox.

Exchange Online Archive Service:

A new Online Archive mailbox will appear below your primary mailbox, showing as “In-Place Archive – [Your Name]” in Outlook Web. 

You can set auto-archive or manual-archive to free up space in your primary mailbox.

Auto Removal of Deleted Items:

Items in your “Deleted Items” folder that have been there for over 30 days will be automatically removed. This includes emails, contacts, notes, calendar entries, and tasks in Outlook. An “Expires” tag will indicate when they will be removed.

Some easy tips here to help you manage email storage size to stay within the limit:

  • Check Email Storage Usage
  • Remove old emails from your mailbox regularly.
  • To send large attachments securely, e.g. files, photos, videos, instead of sending as an attachment, save the files on OneDrive first and share the link of the file/folder in email.
  • Empty Deleted Items Folder regularly, though items are auto removed after 30 days.
  • Empty Junk Email Folder regularly.
  • Avoid Cc yourself when sending an email, as a copy is available in Sent Items Folder.
  • Check OneDrive usage and optimize your storage space
  • Delete or move files you’re not using anymore in OneDrive, such as: 
    • Old or unnecessary files
    • Large files you don’t need anymore (i.e. videos)
  • OneDrive is mainly for storing your schoolwork and activities during your study period. The updated storage size should be adequate for most students if they manage their files regularly.

If additional storage is required, here are some cloud storage options available in the market. Please visit the respective service link for subscription plans. It is advisable to consider data security and confidentiality when using public cloud storage services.

1. Who is impacted by the Storage Reduction? 
All account holders are impacted in this change. 
2. Are there any changes to sharing and collaboration features?
If you exceed your OneDrive quota limit, you can still share documents with others using OneDrive. However, shared documents will only be accessible to others in read-only mode.
3. How do I download my files from OneDrive to another repository?

4. I deleted files by mistake! What can I do? 
Don’t worry if you mistakenly delete OneDrive files. As OneDrive has a helpful feature that allows you to restore deleted files within 30 days from the recycle bin. So, you can easily retrieve those files if needed.
