    Office 365 Mail is a central email service for all staff members. It provides each user a 50GB mailbox. The service replaces CUHK Webmail (Mailserv) system which will retire on 3 Jan 2018. Check here on how to move your CUHK Webmail (Mailserv) to Office 365 Mail.

    It includes standardized display name, email address and contact phone viewable to all staff. Change it here and it will be updated to  

    • Office 365 in 30 minutes (Choose Delve in Office 365)
    • Global Address List in 24 hours (click New Email and Address Book at Outlook)

    Here are quick guides for you to check emails and access your mailbox through

    While adding email account to email clients, the setting can be automatically detected after choosing Exchange / Office 365 account and doing login. If you still fail, please try manual setup through IMAP.

    1. Retirement of CUHK WebMail (Backup your old mails and contacts)

    Your mail, contacts, forwarding and rules are not automatically moved to Office 365. Among all the available tools, outlook desktop client is the best tool for this transfer. Please follow the steps below if you want to backup these files or move them to O365.

    1. Checklists for Switchover from CUHK Webmail to Office 365 Mail

    Before the Switchover

    1. A notification email is sent to the CUHK Webmail mailbox of the corresponding account right before the Office 365 mailbox creation.

     

    After the Switchover

    1. A welcome email will be sent to the Office 365 mailbox when it is ready.
    2. The email drop box of the corresponding account is frozen as Office 365 mailbox (This email address is being protected from spambots. You need JavaScript enabled to view it.). All new emails  sending to This email address is being protected from spambots. You need JavaScript enabled to view it. will reach Office 365 mailbox instead of CUHK Webmail.

    3. You can find a new email forwarding rule at CUHK Webmail. It forwards all new emails from CUHK Webmail to your Office 365 mailbox (This email address is being protected from spambots. You need JavaScript enabled to view it.).

    Remove other email forwarding rule in your CUHK Webmail but ONLY keep "This email address is being protected from spambots. You need JavaScript enabled to view it.". Otherwise, some outsider email service may eliminate a forwarded nessage if it is forwarded from CUHK Webmail and Office 365 mailbox simultaneously.

    4. Your LAN Admin / IT Coordinator will be informed for the completion of the switchover if your application is submitted through their coordination.

     

    Your Actions

    1. Access the new Office 365 mailbox at http://www.cuhk.edu.hk/o365 and refer to the user guides to access your mailbox through other devices.
    2. Re-define the mailbox setting in Office 365 e.g. email forwarding rule, signature or etc..
    3. Old emails in CUHK Webmail will NOT be copied to Office 365 mailbox. Please copy them to Office 365. (How?)
    4. Export your contacts in CUHK Webmail for backup (How?)

     

     

     

    * For staff having departmental MS Exchange (Outlook) accounts, you should use MS Exchange (Outlook) password to log in Office 365. By changing OnePass password after 12 May, 2016, you can then use OnePass Password to log in here and also departmental MS Exchange (Outlook) email
